Responsibilities
As an administrator, you will play a central role in supporting our operations and ensuring a well-functioning administration within given timeframes. You will contribute to a structured and efficient workflow and be responsible for maintaining high quality in documentation and case management.
Your duties include, among others:
- Providing administrative support and service to both employees and elected representatives, and helping colleagues improve where needed.
- Acting as a resource in our local financial administration in relation to the Västerås Diocese Service Bureau, which manages our finances. They will join the national Economic Service from 2027.
- Handling ongoing administration related to the parish's activities. This ranges from posting invoices to adjusting employee schedules in Visma and managing time reports. It may also involve handling remuneration for our elected representatives.
- Managing registration and archiving in accordance with current regulations.
- Administering requests for the release of public and official documents in accordance with current provisions on public access and confidentiality.
- Serving as backup and independently preparing and drafting documents, invitations, agendas, and minutes before and after meetings, as well as managing distributions.
- Serving as backup and being able to establish cases and prepare documents, including decision-making materials for decision-making bodies.
- Acting as a resource in the church elections, which we conduct every 4th year.
We are looking for someone who has:
- Several years of experience in qualified administrative work in a similar role, for example within municipal administration, a government agency, or another organization where structured document management and a secure case process are central.
- Relevant upper secondary education, for example in economics or social studies.
- Experience in: financial administration, meeting administration, document management, registration, case preparation, archiving, and the release of public documents.
- Very good IT skills, including the Office package.
- Experience with archive and registration systems, preferably Public 360.
- Very good ability to express yourself in Swedish, both orally and in writing.
- A B driver's license and access to your own car.
It is an asset if you have:
- Good knowledge of the Church of Sweden's organization.
- Good knowledge of GDPR.
- Experience of working in a representative-led organization.

You are confident and flexible, make correct trade-offs and priorities even in pressured situations, and always act with the best interests of the organization in mind.
